This Privacy Policy explains how HM Decanter e Centrífugas, the trade name shown on the website, processes personal data related to browsing at https://hmdecanter.com.br/ and to requests made through its commercial channels.

This policy applies to the corporate website and to commercial contacts made through it. Additional processing arising from contracts, invoicing, technical support or internal routines may be governed by specific documents and notices, where applicable.

2. What data may be processed

Information provided voluntarily: when requesting service or a quote, visitors may provide their name, company, phone/WhatsApp, e-mail, subject, equipment manufacturer/model, city and a description of their needs. In the current form, name, phone/WhatsApp, e-mail and subject are required; the other fields are optional.

Information sent through external channels: if visitors contact us directly by e-mail or WhatsApp, HM may receive the data and content they choose to share, as well as information available on those services.

Technical browsing information: the hosting provider and other technical providers may generate access logs, IP address, request date and time, requested pages, browser user agent and error logs, depending on the configuration of the services used. Whether these logs are generated and kept depends on infrastructure settings and the rules applicable to the hosting provider.

We ask visitors not to include passwords, banking details, sensitive personal data or unnecessary information in their messages.

3. How the form and WhatsApp submission work

On the website, the form is processed by the visitor's browser. It does not send the fields to a database of the website, nor does it store the completed requests.

When clicking “Continue on WhatsApp”, after filling in the required fields and ticking the confirmation shown, the browser builds a WhatsApp address (wa.me) containing the data entered as pre-filled text and opens that address.

The data may be transmitted to WhatsApp/Meta when the link opens, even if the visitor has not yet confirmed sending the message in the chat. Visitors can review the message before actually sending it to HM.

Once the message is sent, the information becomes part of HM's WhatsApp support, also subject to the platform's terms and privacy policy. Visitors may instead contact us via one of the sales e-mails without using the form.

4. Purposes of processing

Data received by HM may be used, according to the request and applicable internal processes, to:

  • answer questions, quote requests and contact requests;
  • identify equipment, parts and needs for maintenance, refurbishment, support, rental or purchase;
  • prepare commercial proposals and continue negotiations and contracts;
  • organize scheduling, technical support and service-related communications;
  • comply with applicable legal, tax or regulatory obligations;
  • protect rights and investigate security incidents, when necessary.

The website currently has no user registration, online purchasing, automated newsletter or profile-scoring tool. If such features are added, this policy will be reviewed.

5. Legal bases

Legal bases depend on the specific purpose of each processing activity. Depending on the case, they may include: pre-contractual steps or performance of a contract; compliance with a legal or regulatory obligation; regular exercise of rights; e legitimate interest, where appropriate and duly assessed.

Where the law requires specific consent, it will be requested appropriately and may be withdrawn in the cases provided for in the LGPD (Brazil's data protection law).

The applicable legal basis depends on the purpose and circumstances of each request. The confirmation ticked on the form refers to opening WhatsApp and is not a general consent for processing beyond the request submitted.

6. Sharing with third parties and external links

To operate the website and handle requests, data may be processed by providers involved in the service, depending on the activity, such as:

  • HostGator, for hosting infrastructure and associated technical logs;
  • WhatsApp/Meta, when the visitor opens the WhatsApp link or uses that platform to contact HM;
  • corporate e-mail provider, when sending or receiving messages through the sales addresses;
  • Google Maps, when the visitor chooses to open the external directions/location link.

Clicking external services may take visitors to environments with their own terms, technologies and policies. The website provides a link to maps, not a map embedded automatically on the page.

International transfer: some providers may process data outside Brazil, according to their operations and contracts. Whenever an international transfer is subject to the LGPD, the applicable legal requirements must be met.

7. Cookies and monitoring tools

The website code does not implement its own traffic analytics tool, advertising pixel, behavioral advertising or tracking cookies. Menus, filters and the gallery run in the browser itself, without registration.

This statement refers to the reviewed website code. Server resources, security mechanisms and external services may use technical logs or cookies according to their own settings, which should be checked after publication.

If new measurement or marketing tools or non-essential cookies are added, HM will review the policy and, where required, implement appropriate choice controls.

8. Storage and retention period

The website form does not keep its own copy of the completed data in a website database. After commercial contact, information received by HM may remain in corporate mailboxes, WhatsApp conversations, spreadsheets and internal systems used to record and follow up on customers, requests and quotes.

HM keeps customer and quote histories and currently has no formally defined period for deleting these records. The need for retention should consider the purpose of the request, the continuity of the business relationship, any legal obligations and the regular exercise of rights. The absence of a formal period does not authorize keeping personal data indefinitely.

When there is no purpose or legal basis justifying retention, data should be deleted or anonymized, as applicable and except where the law requires retention. HM still needs to formalize internal retention and disposal criteria and procedures.

9. Information security

Access to customer data, quote requests and service histories is restricted to authorized employees in specific departments, according to their roles and responsibilities at HM Decanter. Authorized employees use individual passwords to access e-mails, spreadsheets and internal systems related to their work.

HM recognizes the need to adopt and improve technical and administrative measures proportionate to processing risks, to reduce the chance of unauthorized access, loss, alteration or improper disclosure. The existence of additional mechanisms such as multi-factor authentication, encryption and audit logs depends on internal verification and is not stated in this policy.

The website should be served over HTTPS with a valid certificate. Hosting services and other external platforms also depend on the measures adopted by their providers. No digital environment is completely risk-free.

10. Data subject rights

Under the terms and limits of Brazil's General Data Protection Law (LGPD), data subjects may request, as applicable:

  • confirmation of processing and access to personal data;
  • correction of incomplete, inaccurate or outdated data;
  • anonymization, blocking or deletion in the cases provided by law;
  • portability, where regulated and applicable;
  • information about data sharing;
  • information about consent and its withdrawal where that is the basis used;
  • review of or objection to certain processing in the cases provided by law.

To protect data subjects, HM may request proportionate information to verify the identity of whoever asks for access or changes. Responses will be provided within the terms and deadlines of applicable law.

If data subjects believe their request was not properly handled, they may use the complaint channels provided by law, including Brazil's National Data Protection Authority (ANPD), where applicable.

11. Commercial communications

Contact details provided for a request may be used to respond to and follow up on it. The website does not automatically add visitors to a marketing list through the form.

Any campaigns, outbound prospecting or promotional messages outside the website must have their own legal basis, respect recipients' choices and follow applicable opt-out procedures.

12. Children, adolescents and sensitive information

The website is aimed at people and organizations looking for industrial solutions and is not specifically intended for children or adolescents.

HM does not request sensitive personal data through the sales form. If inappropriate or unnecessary information is received, the company will consider deleting it or limiting its use, according to applicable law.
